Program Manager: Event Planner

Job Description:
Kenjya-Trusant is seeking a candidate to fill the role of Program Manager: Event Planner to provide services to support  the United States Diplomacy Center, Office of Policy, Planning, and Resources, Under Secretary for Public Diplomacy and Public Affairs at the United States Department of State.  The primary objective is to provide contractor services and deliverables through performance as they relate to the organization’s mission.

Clearance Requirement - Public Trust (MRPT)

Duties, Tasks and Responsibilities:
  • Work under the day-to-day direction of the Diplomacy Center’s Deputy Director for Management to assure that the Diplomacy Center events and space rentals run smoothly
  • Help devise a wide variety of events in the United States Diplomacy Center pavilion at the Department of State, such as panel discussions, luncheons, galas, or receptions for State Department staff, the general public, international diplomatic staff, donors, and others
  • Intake and vet requests to use the Diplomacy Center space, working with stakeholders to plan their use of the space through phone calls, email, and walk-throughs
  • Work with Diplomacy Center leadership to plan and manage events. Conduct look-ahead meetings and event logistics meetings for staff
  • Oversee the Diplomacy Center pavilion calendar
  • Advise on best practices for events
  • Coordinate with Diplomatic Security, Bureau of Administration, and regional bureaus at the State Department to ensure the smooth execution of events
  • Participate in walk throughs of the Diplomacy Center facility to help plan furniture and stage configurations and AV needs
  • Serve as main point of contact for logistics during events such as panel discussions, speeches, and films
  • Liaise with the State Department’s Bureau of Administration and Bureau of Diplomatic Security to secure visitor entry and exit for Diplomacy Center events
  • Track event invitations, RSVPs, and attendance in a Customer Relationship Management (CRM) system
  • Working as part of the team, oversee logistics for events, including but not limited to check in tables, nametags, crowd movement, catering, and related items
  • Maintain documents related to events, such as checklists, budgets, staff assignments, and space rental agreements.
  • Other related duties as assigned

Required Skills and  Experience:
  • High School or GED, Bachelor’s degree preferred
  • 2-3 years of work experience
  • Experience organizing events for the general public
  • Ability to be available for occasional evening functions
  • Experience with events for the general public
  • Strong verbal and written communication skills
  • Organizational and time management skills
  • Experience in project management and multitasking
  • Experience in the museum community or government is preferred
  • Self-starter and team player
  • Detail and deadline oriented
  • Strong interpersonal skills
  • Strong technology skills
